Migrate DocuSign templates into Dropbox Sign

Overview

Dropbox Sign makes it easy for you to migrate templates from DocuSign to Dropbox Sign. This is an efficient, time-saving process that simplifies transitioning your important template structures into your Dropbox Sign signature workflows.

When you migrate templates you can easily identify which templates have been successfully migrated, partially migrated, or failed to migrate. Dropbox Sign supports a majority of DocuSign template Properties, Features, and Document Fields but there are some key differences that you should be aware of prior to migration. Please review the template conversion matrix below for more details on supported properties and limitations while migrating templates.

Not Supported: Dropbox Sign doesn’t currently support converting any other DocuSign Template properties, features or document fields that aren't listed. A manual update is required to incorporate them into Dropbox Sign Templates.

Template Migration Process

The number of templates you can migrate depends on your Dropbox Sign template quota. Here are the limits to the number of templates available to transfer based on plan:

Note: Any templates created directly with Dropbox Sign will also count against your total template count.

  • Dropbox Sign Essential - max 5 templates
  • Dropbox Sign Standard - max 15 templates
  • Dropbox Sign Premium - unlimited templates

If you reach your template quota limit during a template transfer, a message will appear notifying you that the maximum number of templates has been reached for your current plan. The remaining templates uploaded will fail to transfer with a detailed message in the template report stating that you’ve exceed the maximum number of templates for your plan.

Template Migration Restrictions

  • The maximum number of template json files transferred at a time is 50
  • The maximum file upload size limit is 40MB
  • The maximum number of fields per template is 200
  • The maximum page limit per template is 500

How to migrate templates

Note: Both a JSON file of your DocuSign template or a .zip file with multiple templates can be used in migration. The max number of template files (within the .zip file) converted at a time is 50 templates. File upload size limit is 40MB. If you exceed the max number of template files or .zip file size please separate the template files into multiple .zip files.

  1. Login to your DocuSign account.
  2. Gather all DocuSign templates that you want to migrate into one .zip file. Templates can also be uploaded as a JSON file.
  3. Login to your Dropbox Sign account.
  4. Using the left panel navigation, select "Transfer templates".
  5. Select “Add File” to upload your JSON file or .zip file of DocuSign templates. You can also drag and drop the file into the designated area.
  6. Once the file is added, you’ll see the “Transferring your files” message. As templates complete, they will automatically be added to your Templates Page. We highly recommend reviewing your newly migrated Dropbox Sign templates to ensure everything was migrated properly prior to using it in a signature request.
  7. Once the transfer is complete you will see a modal providing you a summary of all the templates that have transferred successfully, partially transferred and failed to transfer.
  8. Clicking on “Download Report” will download a CSV report, that provides details on the template migration.

Template Report

Templates uploaded for migration will receive real-time feedback on the status of each individual template’s conversion through a downloadable CSV report. This report will display one of the following statuses for each template:

The CSV report will provide details on the Features, Fields, and Properties that were skipped and couldn’t be transferred. Additionally, if the template failed to transfer, a detailed explanation of why the template failed will be included in the CSV.

If the user reaches their max template quota while the templates are being converted, each template exceeding the quota will be tagged as “failed to transfer” within the CSV report.

Template Review

Once templates have been migrated, we highly recommend you to review each template to ensure all supported fields have been converted correctly to the Dropbox Sign Template. Follow these steps to review template details:

  1. In the left panel navigation select “Templates”.
  2. Ensure the “All Templates” tab is selected. You will see a list of templates in order with the most recently added templates at the top of the list.
  3. Identify the template you would like to review and select the vertical 3 dots to the very right of the template title.
  4. A dropdown will appear with a list of options. Select “Edit”.
  5. The template editor will open on the “Select Documents” page. Here you will see the files used for you DocuSign Template. You may add or remove files at this step. Once complete, select “Next”.
  6. At the “Add roles” step, please review the Role titles. These will be the converted values for your previous Recipient Roles. You can additionally edit the roles at this step, enable signer reassignment, or set a signer order. Once complete, please select “Next”.
  7. The “Place fields” step will require the most review. At this step you should see all supported document fields added to the document in the same locations as your DocuSign template. Please review this for accuracy and make any updates using the left panel to add fields for specific signers and the right column to include more details for the selected field.
  8. Once complete, you can preview the document for each signer using the “Preview” button in the bottom right of the template editor. After reviewing, please select “Next”.
  9. Lastly, review the CC’d recipient roles, template title, and template message (email message). Once all edits are complete, select “Save Template”.
  10. Your template is now ready for use! Please see Using templates section for resources on how to send signature requests with a template.
